Privacy Policy

How Swissmapper handles website and enquiry data.

How we handle website visits, enquiries and newsletter sign-ups, why we process personal data, and the rights available to you under Swiss data protection law and, where applicable, GDPR.

Responsibility

Controller and scope

The founders of Swissmapper, a company in formation, Feuerwerkerstrasse 39, 3602 Thun, Canton Bern, Switzerland, are responsible for the personal data we process through this website and related enquiries. Contact us at contact@swissmapper.com.

This notice covers our public website and correspondence. Processing of research datasets through our products is subject to separate agreements and notices. Swiss data protection law applies, including the Federal Act on Data Protection (FADP). The EU General Data Protection Regulation (GDPR) also applies where its territorial and material scope is met.

Data use

Information we receive

When you email us, we receive your email address, the name and organisation you provide, your message, attachments, and related correspondence. The website’s email links open your email application; they do not submit a web form. Providing enquiry details is voluntary, but we need a way to contact you to respond.

Visiting the website sends technical request data to our hosting provider, including your IP address, the pages or files requested, and the time of the request. The web server records these requests in log files, which are used to deliver the website, keep it secure, and produce aggregated access statistics.

Purpose

Purposes and legal bases

We use enquiry data to answer questions and discuss demos, research, pilots, and partnerships. Where GDPR applies, this is based on our legitimate interest in handling business correspondence (Article 6(1)(f)), or on steps requested by you before entering into a contract with you (Article 6(1)(b)). Website delivery and security serve our legitimate interests in operating a reliable website.

Where necessary, we process information to meet legal obligations (Article 6(1)(c) GDPR). If an optional activity requires consent, we request it separately (Article 6(1)(a)). Simply visiting the site or sending an enquiry is not consent to unrelated marketing.

Newsletter

Newsletter sign-up

If you sign up for our newsletter, we store your email address, the times of your sign-up and confirmation, and the consent text shown next to the form. We then send you an email with a link, and your address only joins the list once you confirm on our website. Unconfirmed sign-ups are deleted after seven days.

We use your address only to send occasional updates about Swissmapper, such as news about our launch, products and research. The legal basis is your consent (Article 6(1)(a) GDPR), which you can withdraw at any time with the unsubscribe link in every newsletter or by writing to contact@swissmapper.com. Your address is then deleted.

The sign-up data is stored in a database at our hosting provider in Switzerland, named below. To protect the form against misuse, a pseudonymised form of your IP address is kept for up to 24 hours.

Browser privacy

Cookies, analytics, and AI

The current website does not include advertising cookies, analytics trackers, or embedded third-party marketing tools. Fonts and images are served with the website. Browser caching and essential hosting functions may still process technical data.

The public website does not submit your interactions to an AI service or use them for automated decisions with legal or similarly significant effects. References to machine learning and AI describe our materials research platform.

Recipients

Providers and international processing

Enquiries are handled by the people responsible for responding and by the email and IT providers needed to deliver and store correspondence. Information may also be disclosed where legally required or necessary to establish, exercise, or defend legal claims.

Our website and email are hosted by Hosttime, a service of Codia GmbH, Switzerland, on servers in Switzerland operated by METANET AG.

We do not currently transfer website or email data to providers outside Switzerland. Where a future transfer requires safeguards under Swiss law or GDPR, the applicable mechanism must cover that transfer.

Retention

Storage and safeguards

We retain correspondence for the time needed to resolve the enquiry and manage any resulting relationship. Longer retention may be necessary for statutory recordkeeping or legal claims. Once those purposes no longer apply, the information is deleted or anonymised. Hosting logs are subject to the provider’s retention practices.

Protection must be proportionate to the data and risks, including access controls and secure transmission and storage. No internet or email service can guarantee absolute security. Please avoid sending sensitive personal data or confidential research files in an initial enquiry.

Your rights

Access, correction, and other requests

Depending on the applicable law and its conditions, you may request access, correction, deletion, restriction of processing, or data portability. Where GDPR applies, you may object to processing based on legitimate interests for reasons relating to your situation, and to direct marketing at any time. You may withdraw consent without affecting processing that was lawful before withdrawal.

Send requests to contact@swissmapper.com. We may ask for information needed to verify your identity. We respond within the applicable statutory period; under GDPR this is normally one month, with notice if a permitted extension is needed. Legal exceptions and retention obligations may limit a request.

Questions and complaints

Contact and oversight

You can raise data protection concerns with the Swiss Federal Data Protection and Information Commissioner (FDPIC). Where GDPR applies, you may also lodge a complaint with the competent supervisory authority, particularly in the EU/EEA country of your habitual residence, workplace, or the alleged infringement.

We update this notice when our processing changes. This draft was revised on 27 September 2026.
